NorthgateArinso delivers a service to clients that gives the assurance that the right people are doing the right job. Specialist pensions administrators calculate benefits and liaise with members, and accounting experts handle the financial elements of the scheme using one integrated system. There are four distinct service areas;

  • Member Services - the principal role is to be the warm, caring and friendly interface with members on a daily basis, employing those with the best people skills. They take all member calls, reply to post, and help members use their web access effectively if they should need assistance

  • Benefits Services - this team have a natural skill for understanding all technical aspects, scheme rules and legislation. Every final benefit quotation must be approved by the team before they become payable. This ensures compliance with scheme rules, legislation and reflects any other promises which may be hidden in a members file

  • Accounting Services – the growth in DC schemes has put new demands on administrators. Therefore specialist accountants have the responsibility for investing, collecting and reconciling the new and larger monthly returns

  • Registrar Services – absolutely key to successful administration now and in the future is the quality of the data. This team works closely with Accounting Services to maintain the records including sophisticated investment accounts, comprehensive membership data and past scheme histories. Without complete records the full benefit of member web access is not achievable

Integration of Electronic Document Management System (EDM)
All correspondence for all clients is electronically stored and is instantly accessible to both administrators and clients. This substantially improves service performance and reduces costs

Dedicated Communications
NorthgateArinso tailor the communications to client requirements, this can include;

  • full member web access to their own personal details and benefits

  • client specific email addresses for members and HR

  • dedicated helpline and PO Box addresses

Automated Case Monitoring and Workflow
Our administration teams use a fully automated workflow which is integral to our administration system:

  • Once a piece of work is received (post, email, telephone messages), it is scanned and sent to the Team Leaders inbox

  • The Team Leader attaches the correspondence to the appropriate activity and electronically allocates the work to an administrator

  • All correspondence is actioned on the day of receipt

  • Once work is completed, it passes automatically to a more senior administrator for checking and authorisation

  • The Team Leader can monitor the flow of work and reallocate if necessary - for example if a member of staff is absent

  • Clients can also check on progress, view a member’s record or run reports through secure remote access
